Calendly and WhatsApp, ready to switch on

Everyone who books a slot gets a confirmation and two reminders on WhatsApp, a reschedule or a cancellation sends an update, and no-shows are flagged to you. You paste two keys in your account and we switch it on for you.

No setup fee, cancel any month, and a person on live chat if a key doesn't work.

How to set up Calendly and WhatsApp

A few minutes of your time, then it's ours.

  1. Choose Calendly and WhatsApp
Press Connect. This pair is already selected on the checkout page at $39 a month, and there's nothing else to pick.
  2. Pay and open your account
Card or invoice, about two minutes. The account opens with this integration waiting for its two keys.
  3. Paste the Calendly personal token and the WhatsApp Business key
    • Calendly personal token: in Calendly open Integrations and apps, then API and webhooks. Full Calendly guide
    • WhatsApp Business key: open Meta for Developers, your app, then WhatsApp, then API setup. Full WhatsApp guide
Each screen carries the full guide with the exact menu names, about eight minutes for both.
  4. We check both keys
Each key is checked against Calendly's and WhatsApp's own API the moment you paste it. If one doesn't pass, the screen says what to fix, and a person joins the chat if that isn't enough.
  5. Book one test slot, then we switch it on
A minute or two. Book a slot with yourself, enter your own number and watch the confirmation arrive. A person checks the setup and switches it on, within a working day.

When Calendly or WhatsApp changes its API, we fix it within a working day. You don't get a ticket to solve.

$39a month
  • Everything in the table above, with monitoring on.
  • Fixes when either app changes its API.
  • A person on live chat, weekdays 10:00 to 19:00 EET.
  • Custom logic beyond the table is priced separately.

Before you decide

Where does the phone number come from?

From your Calendly booking form. Add the phone question and make it required; that's the number we write to.

Which WhatsApp does this need?

The official WhatsApp Business API from Meta, on a number you own. The WhatsApp app on a phone has no API, so it can't be connected. If you don't have the API yet, tell us and we'll walk you through getting it.

Can I change the reminder times?

Yes. A day before and an hour before is the default. Tell us in the chat if you'd rather have, say, two hours, and we change it. Small changes like that are free.

What if somebody books without giving a phone number?

Then there is nothing to write to, and the booking still reaches your calendar as usual. Making the phone question required on the booking form is the one change worth making before switching this on.

What if the invitee replies to the message?

Their reply reaches your WhatsApp number as a normal chat, so somebody can answer it. The reminders themselves are one way, and nothing the invitee types changes the booking except the cancel button.

What if mine is a bit different?

Tell us what should go where in plain words. Small changes to the rules above are usually free; bigger ones we price within a working day and build into the same account.
